How DGA conducts its affairs — Article 22 of the Constitution.
Types of Meetings
Six pillars of governance
Annual General Meeting (AGM)
The supreme decision-making meeting held once a year. Approves reports, audits, budgets, elects leaders and ratifies amendments. Quorum: 50% of registered members · 30-day notice.
Quarterly EXCO Meetings
Executive Committee meets at least four times a year — January, April, July and October — to review AGM resolutions, finances, welfare and membership. Quorum: 2/3 of EXCO.
Special General Meetings (SGM)
Convened for urgent matters — amendments, leadership issues, major investments, family disputes. 14-day notice. May be called by Chair, EXCO or 1/3 of members in writing.
Emergency Meetings
Called at any time for immediate action — deaths, crises, financial emergencies, disasters. Notice via call, SMS, WhatsApp or email.
Committee Meetings
Standing Committees (Welfare, Disciplinary, Culture, etc.) meet at least quarterly and report to EXCO.
Mode of Meetings
Physical, virtual or hybrid. Members participating online are deemed present and may vote where applicable.

Article 22.8
Leadership absenteeism rules
EXCO members are expected to attend every quarterly meeting. The Constitution applies the following escalation:
| Consecutive Missed Meetings | Disciplinary Action |
|---|---|
| 1 missed meeting | Verbal reminder from Chair or Secretary |
| 2 consecutive | Formal written warning by EXCO |
| 3 consecutive | Required appearance before EXCO to explain |
| 4 consecutive | Suspension pending EXCO determination |
| 6 consecutive | Removal from office — subject to AGM/SGM approval |
EXCO may consider exceptional circumstances — illness, bereavement, official duties (max 3x), family emergencies — communicated in advance.
